In order to present the Commission’s priorities and policies in Portugal, the European Commission Representation in Portugal must organise a variety of events to involve and interact with national audiences, e.g. national and regional authorities, media, specific stakeholders, civil society, communication networks and others. For this this purpose, the Representation will seek the assistance of qualified service providers for the organisation, implementation and evaluation of events. The main services to be provided are the following: - Organization: design of the event scenario, coordination of the implementation, including all associated logistics (provision of all the technical equipment needed, speakers, moderators, travel and accommodation costs if needed, disassembly after the event) and thorough management of the event program. - Premises: identification of premises, reservation agreements and all payments including deposits if needed - Catering: coffee-breaks and/or working meals for participants. - Invitations and management of registrations: design and distribution of invitations, establishment of the guest/participant list and follow up to promote registration of participants - Promotion: advertising and promotion in social and digital media, contacts with media, including media partnerships, promotional materials - Video: recording, editing and post-production, streaming, including web streaming and event retransmission - Evaluation, follow-up, reporting: evaluation of communication events (e.g. views and opinion of participants and speakers, measurement of impacts and results, analysis and presentation of evaluation data collected, media analysis, including social media, etc.)
